Renting ten laptops for a project team and renting four hundred for a training academy are different jobs, yet they tend to go wrong in the same places: a configuration nobody tested, a device management profile that blocks the laptop at return, an invoice finance cannot match to a purchase order, or a swap that drags on because nobody knew who to call. This checklist walks procurement, IT and finance through a bulk rental from first requirement to final return, with practical notes for offices across Gurgaon, Noida and Delhi, and for branches outside NCR. Every rental here is a monthly plan, billed per unit, plus 18% GST.
1. Define the requirement
Start with people, not laptops. Group users into a few personas, such as developers, analysts, sales staff and trainees, and write down for each:
- The software list and operating system. The heaviest application sets the minimum specification.
- Quantity and start dates, including joiners who arrive in waves.
- Duration per group, in months. 4th to 11th Gen laptops and the MacBook Air M1 run month to month with a one-month minimum, while new 12th and 13th Gen laptops, RTX laptops and the MacBook Air M2 and later carry a 1-year lock-in, so match each group to the term it will really need. Project end dates tend to move, so extensions are requested before the end date and usually keep the same laptops, subject to availability. A one-off need shorter than a month, such as an induction week, is an event order, quoted separately.
- A spare pool. A few spare laptops held by your IT team let you get a user working again in minutes while a faulty unit is swapped. Size it to how much a dead laptop costs you; on a training batch where one failure stops a trainee, a spare for every couple of dozen laptops is a sensible starting point.
- Accessories. Chargers come with every laptop. List any adapters at the start. MacBook Airs have only USB-C/Thunderbolt ports (plus MagSafe for charging on the M2 and M3), so they need an adapter for HDMI or USB-A. The MacBook Pro 14 and 16 have HDMI but no USB-A.
Most office personas are well served by a Core i5 business laptop such as the Core i5 10th Gen with 8 GB / 256 GB SSD, with the +8 GB RAM add-on for heavier users. The business laptop range shows the options.
2. Standardise on as few configurations as possible
Every extra configuration means another image to build, another driver set to test and another spare to hold. Aim for one configuration per persona. Standardising also pushes more units into a higher quantity tier, where the monthly rate is lower. Windows laptops are supplied as Dell, HP or Lenovo depending on stock, so ask for a single brand across the batch and book early for large quantities.
Before committing to hundreds, take one or two pilot units a few weeks ahead, on a month-to-month configuration where possible. Run your image, VPN client, security agent and core applications on them. A problem found on a pilot laptop costs an afternoon; the same problem found on delivery day costs a week.
3. Decide who prepares the laptops
Every laptop arrives cleaned, factory-reset and tested. From there, most companies follow one of two paths:
- Your IT team deploys its own image and enrols each laptop after delivery, usually through device management. This is the normal route for managed fleets and keeps your security tooling under your own control.
- Software pre-installed before delivery. Pre-installation is available on request, for example a particular browser, software you hold licences for, or a clean default user account for a training room. List what you need when you ask for a quote, and what will be installed is confirmed with the quote.
Budget IT time realistically: enrolling fifty laptops by hand is days of work, so stagger deliveries to match.
4. Enrol, secure, and write the exit plan on day one
Treat enrolment and de-enrolment as one task. The commonest return-day delay is a laptop still tied to the renting company.
- Windows. If you use Windows Autopilot, the devices' hardware hashes must be registered to your tenant. Record that you did it, because each device must be deregistered before return.
- Mac. Rented Macs can be added to Apple Business Manager through Apple Configurator for automated enrolment. They must be released from your organisation before return, and Activation Lock must be off.
- Encryption. Escrow BitLocker or FileVault recovery keys in your management tool, so a swap or a forgotten password never locks you out of a user's data.
- Firmware. Do not set BIOS or firmware passwords. Rental terms do not allow them, and your management tool can enforce the controls you need instead.
5. Asset tags and the register
The rental company's serial numbers, labels and asset tags must stay on every laptop. If you also need your own tag for audits, ask before applying it and use a label that peels off cleanly. Then keep one register, in a spreadsheet or your IT asset tool, with these columns:
- Rental serial number and your internal asset ID
- Configuration and brand supplied
- Assigned user, team and location
- Handover date and condition notes
- Charger and accessories issued
- Planned return date and actual return date
Ask each employee to sign for their laptop at handover. At return, this register is what you reconcile against.
6. Commercials, documents and GST
- Business KYC. A GST certificate or company incorporation documents, the authorised signatory's ID and the delivery contact's details, completed online before dispatch. Employees do not share personal documents; the delivery person only checks the receiver's photo ID. The full list is on the documents required page.
- Deposit. A refundable deposit may apply depending on the order, and the quote confirms it. It may be waived, or replaced with invoice terms, for verified companies.
- Cancellation. Cancelling or refusing delivery after the order is placed costs one month's rent for the order, so confirm headcount first.
- Payment. Without agreed terms, the first month's rent and any deposit are paid before dispatch, by UPI, card, net banking or bank transfer. Verified companies can agree invoice terms instead, so settle them before the first delivery.
- Invoicing. Invoices carry your GSTIN with 18% GST shown separately, rent is invoiced monthly, and your PO number can be quoted on every invoice.
- Multiple states. If laptops go to offices in Gurgaon (Haryana), Noida (Uttar Pradesh) and Delhi, tell us which GSTIN and billing address each batch should be invoiced to, and let your finance team confirm the place-of-supply treatment.
- Terms. Extension, early-return and service terms in a corporate quote apply alongside the standard rental policy. Read both.

7. Delivery logistics
Delivery runs from local hubs, with same-day dispatch in most NCR localities for orders confirmed before 4 PM. It is free in Noida; elsewhere in Delhi NCR a distance-based delivery charge applies, confirmed on the call. For a large batch, plan a fixed date rather than relying on same-day.
- Gated IT parks and office towers. Buildings in DLF Cyber City, along Golf Course Road, in Noida Sector 62 and on the Noida Expressway typically need vendor passes, a goods lift or loading bay slot, and a delivery window. Arrange these a day ahead and name one receiver who counts every box.
- Training rooms, hotels and venues. Share hall details, setup time and an on-site contact. Aerocity hotels and large venues often have their own vendor entry rules.
- Handover check. Power on a sample at every site, confirm chargers, and make sure existing marks are written on the delivery record.
- Offices outside NCR. Branches in Mumbai, Bangalore, Hyderabad, Pune and other cities are served by shipment from NCR, which typically takes 3–4 days. A shipping charge applies, confirmed on the call, so build it into the budget and the start date.
8. Swaps and support
Agree one escalation contact on each side before go-live. If a laptop has genuinely failed and the fault was not caused by damage or misuse, it is replaced at no cost, within 24 hours in NCR and in 3–4 days outside NCR. Your spare pool covers the user in the meantime, which is why outstation teams should hold a slightly larger one. Keep user files in cloud storage so a swap costs nothing. Decide in advance how you will handle employee-caused damage, since it is charged at the actual repair cost. If a user's work outgrows their laptop, a RAM or SSD add-on or a swap to a higher configuration can be requested mid-rental, subject to stock, billed at the new rate.
9. Returns and reconciliation
- Confirm end dates per site; we collect the laptops at the end of the term (outstation returns follow the arrangement in your quote).
- Ask users to back up and sign out of every account.
- Retire devices in management, deregister from Autopilot or release from Apple Business Manager, and confirm Activation Lock is off.
- Collect chargers and accessories against the register.
- Reconcile serial numbers, review any itemised deductions with photos, and match the final invoice to the PO.

FAQs
Can every laptop in a bulk order be the same configuration?
Yes, and it is worth asking for. One configuration means one image, one driver set and interchangeable spares, and where stock allows the batch can also come from a single brand. For large batches, book early and share the start date, quantity and configuration together, so the whole lot can be reserved. Deliveries can be staggered if your team joins in waves or works from different offices, and rates drop as quantity rises.
Do employees have to share their own KYC documents?
Usually not. Verification is done once at the company level, online and before dispatch, with a GST certificate or incorporation documents, the authorised signatory's ID and the delivery contact's details. You share delivery details and name a receiver for each location, who shows photo ID at handover, and the company is responsible for the laptops issued to its staff.
What must our IT team do before returning rented laptops?
Back up or migrate user data, then retire the devices in your device management tool, deregister them from Windows Autopilot or release them from Apple Business Manager if you enrolled them, and make sure Activation Lock is off on Macs. A device still enrolled or locked cannot be reset for its next use, so the rental cannot be closed until it is cleared.
