Frequently asked questions
Everything companies ask us about ordering, monthly plans, deposits, delivery, devices and bulk accounts.
Ordering
Who can rent from Rentomozo?
We rent only to businesses and organisations: companies, startups, LLPs, partnerships, GST-registered proprietors, consultancies and professional practices, plus institutions such as training institutes, schools, colleges, hospitals, NGOs and government offices renting as organisations. We do not rent to individuals in a personal capacity. The organisation completes KYC, is invoiced, and is responsible for the laptops, desktops, printers or scanners it rents for its staff or trainees.
How do I rent laptops or other equipment for my organisation?
Pick configurations from the price list, or tell us what the devices are for and we will suggest one. Share the quantity, start date, rental term and delivery address, along with your business KYC documents. Once KYC is verified and the first month's rent and any deposit are paid, or invoice terms are agreed, we confirm a delivery slot. Devices arrive cleaned, reset and tested, and we collect them at the end of the term.
What documents does my business need to share?
A GST certificate, or company documents such as the certificate of incorporation, LLP agreement, partnership deed or Udyam registration, along with the entity's PAN. We also need the authorised signatory's photo ID and an authorisation letter or confirmation from an official company email, plus the name and number of the delivery contact. KYC is completed online before dispatch, and the Documents Required page lists everything in detail.
What is the minimum rental period?
It depends on the configuration. Older configurations, such as 4th to 11th Gen Core laptops, MacBook Air M1 and the Core i3 desktop, run month to month with a one-month minimum. New laptops, newer MacBooks and most workstations carry a 1-year lock-in, and two printers carry a 6-month lock-in. The lock-in is shown against each item on the price list. We do not price rentals by the day or week.
Can we rent laptops for an event shorter than a month?
Yes, as an event order. Conferences, hackathons, trainings, product launches, recruitment drives and assessments run by an organisation are quoted on request, usually with a minimum quantity. Share the venue, dates, number of devices and any software or browser that must be ready. Laptops are delivered to the venue ahead of your start and collected after the event closes.
Can we book devices in advance for a joining date or training?
Yes. If you know when a new team joins or a training batch starts, book a few days ahead so the configurations and quantity are set aside. Share the date, delivery address and preferred time window. Advance booking matters most for MacBooks, RTX workstations, desktops and large batches, and it is essential for deliveries outside Delhi NCR, which take 3–4 days.
Can we cancel an order?
Please confirm quantities and dates before you place the order. Once an order is placed, cancelling it, or refusing to accept delivery without a fault on our side, attracts a penalty equal to one month's rent for the order. The penalty is adjusted against any advance paid and the balance is refunded. If we cannot supply a confirmed order, we offer a comparable configuration or refund everything you paid.
Pricing & deposit
How is the rent calculated?
Each configuration has a monthly rate that falls as quantity rises, in tiers of 1–5, 6–10, 11–25, 26–50, 51–100 and 100–200 units; the price list shows every tier. Rent is billed per monthly cycle from the date of handover. 18% GST is added on top of the listed rent and shown separately on the invoice, along with any add-ons and the delivery charge where it applies.
Which configurations have a lock-in period?
A 1-year lock-in applies to new laptops (12th and 13th Gen Core and the RTX laptops), MacBook Air M2 and later, most newer MacBook Pro models, the 12th and 14th Gen RTX workstations and the Core i5 desktop. The HP LaserJet 1020w and the TSC label printer carry a 6-month lock-in. Rent is payable for the full lock-in even if a device comes back early. Everything else runs month to month.
Can we add more RAM, storage or a bigger monitor?
Yes, subject to stock. On laptops, an extra 8 GB RAM is ₹400 a month and an extra 256 GB SSD is ₹400 a month. On desktops, an extra 8 GB RAM is ₹200 a month, an extra 256 GB SSD is ₹150 a month, and the monitor can be upgraded to 24-inch for ₹200, 27-inch for ₹400 or 32-inch for ₹600 a month. Add-ons are per device, plus 18% GST.
How much is the security deposit, and can it be waived?
The refundable deposit depends on the configuration and is confirmed in your quote. It covers only unpaid rent, damage beyond normal wear, missing accessories, late-return charges and loss or theft. For verified companies, it may be waived or replaced with agreed invoice terms, at our discretion. After the devices are collected and checked, the deposit is refunded, less any itemised deduction we have explained to you first.
Are there any charges apart from rent, GST and deposit?
Delivery is free in Noida. Elsewhere in Delhi NCR there is a distance-based delivery charge, and outside NCR a shipping charge, both confirmed on the call. Optional add-ons such as extra RAM, SSD or a larger monitor are billed monthly. Other charges arise only from cancelling after the order is placed, keeping devices past the term without notice, damage beyond normal wear, missing accessories, or loss or theft.
Delivery & returns
How quickly can you deliver within Delhi NCR?
Orders confirmed, KYC-verified and paid, or on agreed invoice terms, before 4 PM are usually delivered the same day across most of Delhi, Gurgaon, Noida, Greater Noida, Ghaziabad and Faridabad. Each locality page shows a typical window based on distance from our Nehru Place hub. Large batches, MacBooks, desktops and workstations are subject to stock, and we confirm the slot before you pay.
Is delivery free?
Delivery is free only in Noida. Elsewhere in Delhi NCR, including Greater Noida, Ghaziabad, Delhi, Gurgaon and Faridabad, the delivery charge depends on distance and order size, and we confirm it on the call before you order. For deliveries to other states, we confirm the shipping charge on the call. 18% GST applies, and the exact amount is confirmed on the call before you pay.
Do you deliver outside Delhi NCR?
Yes, to business districts in Mumbai, Bangalore, Hyderabad, Pune, Chennai, Kolkata, Ahmedabad, Jaipur, the Chandigarh tricity and Lucknow. Devices are dispatched from our Nehru Place hub in Delhi and typically arrive in 3–4 days. The shipping charge is confirmed on the call along with the delivery date, so book a few days ahead of joining dates, trainings and events.
What should our team check when the devices are delivered?
The delivery person checks the receiver's photo ID against the name you gave us; KYC is already done online. Then switch each laptop or desktop on, check the screen, keyboard, Wi-Fi and charging, print a test page on printers, and count the chargers and cables. Point out any existing marks so they go on the delivery record. Anything recorded at delivery is never charged at return.
How do we extend a rental or return devices early?
Rentals run in monthly billing cycles. To extend, tell us before the current cycle ends and the next month is billed. For month-to-month configurations, give notice before the next cycle starts and we schedule collection; the current month is billed in full and later months are not. For configurations with a lock-in, devices can come back early but rent is payable for the rest of the lock-in.
How do you collect the devices at the end of the term?
We collect the devices at the end of the term and confirm a collection slot shortly before the end date. Before handover, your team should back up files, sign out of every account, remove device-management enrolment and keep chargers, cables and monitors ready. Devices are checked at your office and their condition is noted. A reception desk or admin contact can hand them over, as long as you tell us who it will be.
Devices & support
Which brands do you supply?
Our catalogue is listed by configuration, not by brand model. A Core i5 or Core i7 laptop or desktop is supplied from Dell, HP or Lenovo, as available, in the processor generation, RAM and SSD you choose. If your IT team needs one brand across a batch, tell us when you ask for a quote and we will confirm what stock allows. MacBooks are listed by chip, such as Air M2 or Pro M4.
Do you also rent desktops, printers and barcode scanners?
Yes. Alongside laptops and MacBooks, we rent Core i3 and Core i5 office desktops with monitors, Core i7 RTX workstations, a Mac mini with monitor, HP laser printers, an Epson ink tank colour printer, a Brother duplex laser printer, a TSC barcode label printer and TVS barcode scanners. They follow the same business KYC, monthly billing and delivery terms, and each item's lock-in is shown on the price list.
Do rented printers come with ink or toner?
Yes. Every printer is delivered with one ink or toner fill at the time of delivery, included in the rent. After that, refills, toner cartridges, paper and label rolls are your responsibility, though we can arrange them at an extra charge on request. Please use compatible consumables only, since damage from unsuitable ink or toner is treated as damage beyond normal wear.
What if a device stops working during the rental?
Call or WhatsApp us first, since many problems can be fixed over a short call. If a laptop, desktop or printer has genuinely failed, and the fault was not caused by damage or misuse, we replace it at no cost within 24 hours in Delhi NCR. Outside NCR a replacement ships in 3–4 days, so for large teams we recommend keeping a spare unit on the same plan.
What counts as damage, and how is it charged?
Normal wear, such as light scuffs or a shiny keyboard, is never charged. Minor accidental damage, such as a broken key or a chipped corner, is charged at the actual repair or part cost. Major damage, such as a cracked screen, liquid spill or broken hinge, is charged at the repair cost or, if repair is not viable, the replacement value of a comparable device. Photos and the estimate are shared before anything is deducted.
What if a rented device is lost or stolen?
Tell us immediately and file a police complaint or FIR; we need a copy to process the case. The renting organisation is responsible for devices in its care, so a loss or theft is charged at the replacement value of a comparable configuration, with the deposit adjusted against it. Rent on that unit stops from the day the loss is reported, and the charge is reviewed if it is recovered.
Can our IT team install software or deploy our own image?
Yes. Install whatever your work needs, as long as you hold valid licences, and sign in with your company's Microsoft 365 or Google Workspace accounts. Corporate IT teams can deploy their own image or enrol laptops and desktops in management software, and specific software can be pre-installed before delivery on request, confirmed with your quote. Please do not change the BIOS or firmware or set firmware passwords.
How is our data wiped after the devices are returned?
Every returned laptop and desktop is factory-reset before its next rental, which removes your accounts, apps and files. We cannot restore anything after the reset, so copy what you need and sign out before return. Your IT team should also unenrol devices from management software, and MacBooks must be signed out of the Apple Account so Find My and Activation Lock are off. Our team does not open or copy files left on returned devices.
Business & bulk
Do you provide GST invoices, and can we claim input tax credit?
Yes. Every order is invoiced with 18% GST shown separately and your GSTIN on the invoice, so your finance team can claim input tax credit where eligible. Rentals are invoiced for each monthly billing cycle, and you can give us a purchase order number to quote on every invoice. Verified companies can also agree invoice terms instead of paying before dispatch.
Do bulk orders get a lower rate?
Yes. Rates fall as quantity rises, in tiers of 1–5, 6–10, 11–25, 26–50, 51–100 and 100–200 units of a configuration, and the price list shows the rate at each tier. Orders above 200 units are quoted on request. Where stock allows, a batch gets the same configuration so imaging and support stay simple, and deliveries can be staggered if your team joins in waves or works from different offices.
Can laptops come imaged and asset-tagged for our company?
Yes, on request. For bulk orders we can pre-install your standard software, or your IT team can supply an image to deploy on laptops and desktops. Devices can be labelled with your asset tags alongside ours, provided our own serial labels stay intact, and we share a serial-number list with the delivery so your team can match devices to employees and desks.
Can startups without a GSTIN rent from you?
Yes. A startup or firm without GST registration can complete business KYC with its certificate of incorporation, LLP agreement, partnership deed or Udyam registration, the entity's PAN and the authorised signatory's ID. Invoices are then issued without a GSTIN. Deposit terms are confirmed in writing before you commit, and a waiver is considered once the business is verified.
