Rental Policy

Clear rules for lock-in periods, charges, deposits, extensions, returns and damage, so your organisation knows exactly where it stands before it rents.

This Rental Policy explains how renting laptops, desktops, printers and barcode scanners from Rentomozo works, from booking to return. It applies to every rental together with our Terms and Conditions and the booking confirmation you receive for your order. Where a written agreement signed with a business customer says something different, that agreement applies.

In this policy, "we" and "us" mean Rentomozo; "you" and "renter" mean the business or organisation named on the booking; "device" means any laptop, desktop or workstation (with its monitor, keyboard and mouse), printer or barcode scanner we rent to you, together with its charger, cables and any accessories supplied with it; and "laptop" in this policy includes every such device unless the context says otherwise.

1. Who can rent

  • We rent only to businesses and organisations: companies, startups, LLPs, partnerships, GST-registered proprietors and professionals, and institutions such as training institutes, schools, colleges, hospitals, NGOs and government offices acting as organisations. We do not rent to individuals in a personal capacity.
  • The organisation completes business KYC online through an authorised signatory: a GST certificate or company documents, the entity's PAN, the signatory's ID and authorisation, and delivery contact details. Details are on our documents required page.
  • KYC is completed online before the laptops are dispatched. No documents are collected or copied at delivery; the person receiving the laptops only shows a photo ID that matches the name given to us.
  • We deliver within Delhi NCR and ship to the business districts we serve in other metro cities.
  • We may decline or cancel a booking if documents cannot be verified, if the information given is incorrect, or if an earlier rental has unpaid dues or an unreturned device. Any amount paid is then refunded in full.

2. Rental period and billing cycles

  • We offer monthly plans only. The minimum rental is one month.
  • The rental starts when the devices are handed over and runs in monthly billing cycles from that date. Longer terms of 3, 6 or 12 months and bulk quantities are priced on request, and the term in your quote applies.
  • Some configurations carry a lock-in period, shown against each item on the price list and in your quote:
    • 1-year lock-in: new laptops (12th and 13th Gen Core configurations and the RTX laptops), MacBook Air M2 and later, most newer MacBook Pro models, the 12th and 14th Gen RTX workstations and the Core i5 office desktop.
    • 6-month lock-in: the HP LaserJet 1020w Wi-Fi printer and the TSC barcode label printer.
    • Month to month: older configurations, such as 4th to 11th Gen Core laptops, MacBook Air M1, the M1 and M3 Pro MacBook Pro models, the Mac mini, the Core i3 office desktop, the 10th/11th Gen RTX 3060 workstation, and the other printers and barcode scanners, with a minimum of one month.
  • During a lock-in period, rent is payable for every month of the lock-in even if a device is returned earlier. After the lock-in ends, the rental continues month to month.
  • We do not price rentals by the day or week. Requirements shorter than a month, such as conferences, trainings, assessments, audits or launches, are handled as event orders, quoted separately with their own dates and terms. See laptops for events.

3. Rent and payment

  • Monthly rates for each model are shown on our price list. The rate in your quote or booking confirmation applies to your rental, even if the price list changes later.
  • Monthly rates fall as quantity rises, in tiers of 1–5, 6–10, 11–25, 26–50, 51–100 and 100–200 units of the same configuration. The price list shows the rate for each tier, and orders above 200 units are quoted on request.
  • 18% GST is charged on top of the listed rent, add-ons and delivery charges, and shown separately on the invoice.
  • The first month's rent and the refundable deposit are paid before dispatch, by bank transfer, UPI, card or net banking. Rent for each later monthly cycle is payable at the start of that cycle.
  • Verified companies can agree invoice terms instead, as set out in a written quote or agreement.
  • If rent for a billing cycle is not paid when due, we will remind you first. If it remains unpaid, we may end the rental and collect the laptop, and any dues are adjusted against the deposit.
  • Please pay only through the methods we confirm in writing. Our team will never ask for an OTP, a card PIN, a UPI PIN or a net-banking password.

4. Add-ons and printer consumables

  • Laptops can be upgraded with an extra 8 GB RAM (₹400 per month) or an extra 256 GB SSD (₹400 per month).
  • Desktops can be upgraded with an extra 8 GB RAM (₹200 per month) or an extra 256 GB SSD (₹150 per month), and the standard monitor can be swapped for a 24-inch (₹200 per month), 27-inch (₹400 per month) or 32-inch (₹600 per month) monitor.
  • Add-on charges are per device, per month, are billed with the rent for the whole rental, and are subject to stock. GST applies on top.
  • Every printer is delivered with one ink or toner fill at the time of delivery, included in the rent. Further refills, toner cartridges, paper and label rolls are the renter's responsibility, or can be arranged by us at an extra charge on request.

5. Security deposit

  • A refundable security deposit is paid before dispatch, along with the first month's rent. The amount depends on the model and is shown on the price list and in your booking confirmation.
  • The refundable deposit may be waived, or replaced with agreed invoice terms, for verified companies — at our discretion. Any waiver or invoice terms are confirmed in writing before dispatch.
  • The deposit is not rent and does not earn interest. It cannot be used to pay rent for the last part of a rental unless we agree to it in writing.
  • After the laptop is returned and checked, the deposit is refunded to your original payment method or to a bank account in the renter's name.
  • The deposit is used for only five things: unpaid rent, damage beyond normal wear and tear, missing accessories, late-return charges, and charges for loss or theft under section 13. Every deduction is itemised and explained to you, with photos where relevant, before the balance is refunded.

6. Delivery and handover

  • Within Delhi NCR, orders confirmed before 4 PM, with KYC verified and payment made or invoice terms agreed, are usually delivered the same day in most localities. MacBooks, workstations, desktops and large batches are subject to stock, and some localities may need until the next day; we tell you this before you pay.
  • Delivery is free in Noida. Elsewhere in Delhi NCR, including Greater Noida, Ghaziabad, Delhi, Gurgaon and Faridabad, a delivery charge applies depending on distance and order size; we confirm it on the call before you order. The exact amount is confirmed on the call.
  • Outside Delhi NCR, devices are dispatched from our Nehru Place hub in Delhi and typically arrive in 3–4 days. A shipping charge applies; we confirm it on the call together with the delivery date.
  • Delivery and shipping charges are subject to 18% GST. We collect the devices at the end of the term; collection arrangements and any charges are confirmed in your quote.
  • The laptops are handed over to the delivery contact named by the organisation, such as an admin, IT or reception desk. The receiver only shows a photo ID that matches the name given to us.
  • Please switch each laptop on at handover and check it. Existing marks, scratches or missing items are written on the delivery record. Anything recorded at delivery will not be charged to you later.
  • For gated offices, IT parks, SEZ units, factories, hospitals and government buildings, please arrange entry for our delivery team.

7. Using the devices

The laptops may be used for any lawful business purpose of the renting organisation, by its staff, trainees or event participants. While they are in your care, please:

  • keep them in a safe place, away from liquids, heat and heavy loads, and never leave them unattended in a vehicle or public place;
  • use only the supplied charger or a compatible, safe charger;
  • install only software you are licensed to use.

You must not:

  • sell, pledge, sub-rent, or lend the laptops to anyone outside your organisation;
  • open the laptops, attempt repairs, or take them to any repair shop;
  • change the BIOS or firmware, or set a BIOS, firmware or hardware password;
  • remove or alter our serial numbers, labels or asset tags;
  • take the laptops outside India without our written consent;
  • use them for any unlawful activity.

8. Faults and replacement

  • If the laptop develops a problem, call or WhatsApp us on +91 98215 55658. Many issues can be fixed over a short call.
  • If the laptop has failed and the fault was not caused by damage or misuse, we replace it at no cost within 24 hours in Delhi NCR. Outside Delhi NCR, a replacement ships in 3–4 days, so we recommend keeping a spare unit for large teams.
  • If a replacement is delayed beyond that because of a fault on our side, the rent for the period without a working laptop is adjusted.
  • Keep your work backed up to cloud or external storage. We are not responsible for data lost because of a fault or a swap.

9. Extending a rental

  • Rentals continue in monthly cycles. To extend, tell us before the current cycle ends; the next month is billed at the same rate, or you can move to a 3, 6 or 12-month term quoted on request.
  • Extensions depend on the account being up to date. They are usually on the same laptops, subject to availability.
  • If you need a different model during the rental, ask us. Upgrades and swaps are possible on request, subject to stock, and are billed at the new model's rate from the next cycle.

10. Early return

  • For month-to-month configurations, you can return some or all devices before the end of your term. Give us notice before the next billing cycle starts and we will schedule collection.
  • For configurations with a lock-in, devices can be returned early, but rent remains payable for the rest of the lock-in period.
  • The current monthly cycle is billed in full; later cycles are not billed. Any balance paid in advance is refunded with the deposit.
  • For 3, 6 or 12-month terms and custom corporate quotes, the early-return terms in that quote apply.

11. Late return

  • If laptops are not made available for pickup at the end of the rental and no extension has been agreed, a further monthly cycle is billed for each laptop still with you.
  • If the laptops are not made available for pickup and we cannot reach you through the contacts you gave us, they are treated as unreturned. The loss terms in section 13 then apply, and we may file a police complaint and take legal action to recover them.

12. Damage

We separate normal wear from damage, and we charge only for the cost of putting real damage right. Charges are based on the actual repair cost at an authorised or reputable service centre, or the market price of the part, and never more than the replacement value of a comparable laptop.

CategoryExamplesWhat you pay
Normal wear and tearLight scuffs, a shiny keyboard, minor marks from everyday handling, normal battery ageingNothing
Minor damageA broken or missing key, a small dent or chipped corner, a damaged charger cableThe actual repair or part cost
Major damageA cracked or lined screen, liquid spill, a broken hinge, damage from a fallThe actual repair cost, up to the replacement value of a comparable laptop
Beyond economical repairDamage where repair would cost more than the device is worthThe replacement value of a comparable laptop, less any value recovered from it
Missing accessoriesCharger, adapter or other item supplied with the laptopThe cost of a genuine or equivalent replacement

Before any damage charge is made, we share photos of the damage and the repair estimate. If you disagree with an assessment, tell us before the deduction is made and we will review it with you, including the service centre's report where one is available.

13. Loss and theft

  • The renting organisation is responsible for the laptops from handover until they are collected.
  • If the laptop is lost or stolen, inform us immediately and file a police complaint or FIR. Please send us a copy as soon as possible, and in any case within 24 hours of discovering the loss.
  • A lost or stolen laptop is charged at the replacement value of a comparable model. The security deposit is adjusted against this charge, along with any rent already paid for the period after the loss was reported.
  • Rent on that laptop stops from the day the loss is reported to us with a police complaint.
  • If the laptop is later recovered in working condition, the charge is reviewed and adjusted for any repair or recovery cost.

14. Your data and device wiping

  • Every laptop is cleaned, factory-reset and tested before dispatch.
  • Software pre-installation is available on request and is confirmed with your quote. Corporate IT teams can deploy their own image instead.
  • You are responsible for the files and accounts you put on the laptop during the rental. Please back up your data, sign out of all accounts and remove saved passwords before pickup.
  • For MacBooks, sign out of your Apple Account (Apple ID) before return so Find My and Activation Lock are turned off. A Mac that is still locked to your account cannot be reset, and the rental cannot be closed until the lock is removed.
  • If your company enrolled the laptop in device-management software, your IT team should remove it before return.
  • Every returned laptop is factory-reset before its next rental, which removes your accounts, apps and files. We can’t restore anything after the reset, so copy what you need, delete sensitive files and sign out before return. Our team does not open, copy or review files left on a returned laptop.
  • Personal data you share with us for KYC and billing is handled under our Privacy Policy.

15. Cancellation

  • Once an order is placed, cancelling it, or refusing to accept delivery without a fault on our side, attracts a penalty equal to one month's rent for the order. The penalty is deducted from any advance paid, and the balance is refunded.
  • Delivery and shipping charges already incurred are also not refunded once the devices have left our hub.
  • Once the laptop is handed over, the rental has started, and section 10 applies.
  • If we cannot fulfil a confirmed booking, we will offer a comparable model, and if you do not want it, we refund everything you paid.

16. Invoicing and bulk rentals

  • Every order is invoiced with GST, showing your GSTIN, so you can claim input tax credit where eligible.
  • Rentals are invoiced for each monthly billing cycle, and a purchase order number can be quoted on invoices.
  • The organisation is responsible for laptops issued to its employees, trainees or event staff.
  • The refundable deposit may be waived, or replaced with agreed invoice terms, for verified companies, at our discretion. Verification usually means business KYC and a purchase order or confirmation from an official company email.
  • For bulk orders, laptops can be imaged with your software and carry your asset tags alongside ours, on request.
  • Any deposit waiver, invoice terms, billing terms and service arrangements agreed in a written quote or agreement apply alongside this policy.

17. Changes to this policy

We may update this policy from time to time, and the current version is always on this page. Changes do not affect a booking that is already confirmed, which continues under the terms in force when it was confirmed, except where a change is required by law.
