Procurement and finance teams comparing laptop rental quotes often find that two vendors quoting for the same headcount arrive at very different totals. The gap rarely comes from the laptop alone. It comes from the processor generation, the lock-in, how GST is shown, what delivery costs and what happens if an order is cancelled. This guide explains what sets the monthly rent on a business laptop, how to read a quote line by line, and where a company can genuinely lower its spend. Current rates for every configuration sit on the laptop rental price page, which is always the latest reference.
The basic unit: one laptop, one month
Rentomozo rents only to businesses and organisations, and only on monthly plans. Rent is billed monthly, per unit, and the minimum is one month. Some configurations carry a 1-year lock-in, which is covered below. There are no shorter plans and no shorter rates. If your need is genuinely shorter than a month, such as a two-day conference or a short induction programme, it is an event order, quoted on request.
Keeping everything monthly makes budgeting simpler. Rent becomes a predictable operating line that finance can forecast, approve and reconcile against a GST invoice each month.
1. Configuration
Our catalogue is organised by configuration, not by brand model. A Windows laptop is listed as, for example, a Core i5 8th Gen laptop with 8 GB RAM and a 256 GB SSD, supplied as a Dell, HP or Lenovo machine depending on stock. What you pay for is the processor class, memory, storage and graphics. A Core i5 business laptop rents for far less than a Core i7 laptop with 16 GB RAM, an RTX 3050 or RTX 4060 laptop, or a MacBook Pro.
The mistake we see most often is specifying one configuration for everyone based on the heaviest user, so the sales team ends up paying graphics-laptop rent for email and CRM. Split the order by role. Our guide on choosing a laptop configuration for work maps common teams to sensible specifications.
2. Processor generation
Within the same class, the generation moves the price. A Core i5 4th Gen laptop is the lowest rate in the range, and each step up through 5th, 6th, 7th, 8th, 10th and 11th Gen adds a little. New 12th and 13th Gen laptops cost noticeably more, because they are newer hardware with more years of support ahead. For office suites, browsers, CRM and video calls, an 8th to 11th Gen Core i5 is usually plenty. Pay for 12th or 13th Gen where the work actually needs it, or where you want the same machine for a full year.
MacBooks follow the same logic by chip. A MacBook Air M1 is the entry point, the M2, M3 and M4 cost progressively more, and the Pro models with M3 Pro, M4 Pro or M5 Pro chips sit at the top.
3. Lock-in: 1-year or month to month
This is the factor most buyers miss. New laptops (12th and 13th Gen Core, and the RTX laptops), MacBook Air M2 and later, and most newer MacBook Pros need a 1-year lock-in. You commit to twelve months of rent for those units. Older configurations, meaning 4th to 11th Gen Core laptops, the MacBook Air M1 and the older MacBook Pro M1 models, run month to month with a one-month minimum, and you can return them at the end of any month.
If a project might end in three months, choose a month-to-month configuration. If a team is stable and you want newer hardware, the 1-year lock-in is a reasonable trade. Each product page states its lock-in, and so does every quote.
4. Quantity tiers
Rates fall as quantity rises, in fixed tiers: 1–5, 6–10, 11–25, 26–50, 51–100 and 100–200 units of a configuration. The table below shows real rates from our current price sheet at the smallest tier and at the 26–50 tier, so you can see how far the rate moves. Our bulk laptop rental for corporates page explains what to include in a large-order brief.
| Configuration | Rent per unit, 1–5 units | Rent per unit, 26–50 units | Lock-in |
|---|---|---|---|
| Core i5 8th Gen, 8 GB / 256 GB SSD | ₹1,600 | ₹1,320 | Month to month |
| Core i5 11th Gen, 8 GB / 256 GB SSD | ₹2,000 | ₹1,750 | Month to month |
| Core i5 12th Gen, 8 GB / 256 GB SSD | ₹2,400 | ₹2,135 | 1 year |
| Core i7 12th Gen, 16 GB / 512 GB SSD | ₹4,100 | ₹3,950 | 1 year |
| Core i7-12650H RTX 3050, 16 GB / 512 GB SSD | ₹5,800 | ₹5,500 | 1 year |
| MacBook Air M1, 8 GB / 256 GB | ₹3,080 | ₹2,420 | Month to month |
| MacBook Air M3, 8 GB / 256 GB | ₹5,500 | ₹4,840 | 1 year |
| MacBook Pro M3 Pro, 16 GB / 512 GB | ₹9,350 | ₹7,700 | Month to month |
All rates are monthly rent per unit, +18% GST. Delivery charges, add-ons and any deposit are separate.
5. Add-ons
If a configuration is right except for memory or storage, you can upgrade it rather than jumping a whole class. On laptops, an extra 8 GB RAM costs ₹400 per month and an extra 256 GB SSD costs ₹400 per month, per unit. A Core i5 laptop with 16 GB RAM is often a better buy for a finance team with heavy spreadsheets than a Core i7. Desktops can also take larger monitors as an add-on.
6. GST at 18%
Listed rent excludes GST. 18% GST is added on top and shown as a separate line on every invoice. Share your GSTIN when you order so the invoice carries it. For a registered business using the laptops for business purposes, rent is generally an operating expense and the GST paid can usually be claimed as input tax credit where eligible. Confirm the treatment with your chartered accountant. When you compare vendors, read every quote on the same basis, because a quote with GST and one without can look 18 percent apart while being identical.
7. Delivery charges
Delivery is free for offices in Noida. Elsewhere in Delhi NCR, including Delhi, Gurgaon, Ghaziabad, Faridabad and Greater Noida, a delivery charge applies depending on distance from our hub, and we confirm the exact figure on the call with your quote. Orders confirmed before 4 PM usually go out the same day once KYC is complete. We collect the laptops at the end of the term.
For offices in other states, laptops ship from NCR and typically arrive in 3 to 4 days; we confirm the shipping charge on the call. A replacement for a failed unit also takes 3 to 4 days to reach those cities, so we suggest adding a spare to larger orders.
8. Cancellation penalty
Once an order is placed, we reserve the configurations and prepare the units. If the order is cancelled, or delivery is refused at the door, a penalty of one month's rent for the order applies. Confirm headcount, joining dates and the delivery contact before you place the order, and tell us early if dates move so we can reschedule rather than cancel.
9. Event orders under a month
Conferences, product launches, trainings, hackathons, audits and assessments run by an organisation often need laptops for only a few days. These are event orders, quoted on request based on units, configuration, dates, venue and any setup. A minimum quantity applies. See laptops on rent for events for what to send.
Deposits
The price sheet does not list a deposit for laptops. A refundable deposit may apply depending on the order, and it is confirmed in your quote. It may be waived for verified companies. The details are in our post on how the business security deposit works.
How to read a business rental quote
- Line items by configuration. Each shows the monthly rate, quantity tier and lock-in.
- Add-ons. RAM or SSD upgrades listed per unit, per month.
- GST. 18% on top, shown separately, with your GSTIN on the invoice.
- Delivery. Nil for Noida, a distance-based charge elsewhere in NCR, or the shipping charge for other states.
- Deposit. Whether one applies, or whether it has been waived.
- Cancellation and return terms. The one-month penalty, and what counts as normal wear on return.
Practical ways to lower the total
- Specify by role. Most office roles run comfortably on an 8th to 11th Gen Core i5.
- Use add-ons before upgrading class. Extra RAM is cheaper than a Core i7.
- Match lock-in to the project. Choose month-to-month configurations for short or uncertain work.
- Standardise. One or two configurations push more units into a higher quantity tier.
- Return what is idle. Month-to-month units can go back as soon as a project winds down.

FAQs
Is there a rate for renting a laptop for less than a month?
No. Our plans are monthly, with a minimum of one month. If you need laptops for a conference, training, hackathon, audit or assessment that lasts less than a month, that is an event order, quoted on request based on the configurations, quantity, dates and venue. You receive a written quote before you commit.
Is GST included in the listed rent?
No. The listed monthly rent excludes GST, and 18% GST is added on top on every invoice. Each invoice carries your GSTIN, and registered businesses can generally claim input tax credit where eligible. Confirm the treatment with your chartered accountant.
Do larger quantities reduce the monthly rate?
Yes. Rates fall in tiers as quantity rises: 1–5, 6–10, 11–25, 26–50, 51–100 and 100–200 units. The tier is set by the number of units of a configuration on the order, and the price page shows the rate for each tier.
