Laptop on Rent for Events and Conferences: How Event Orders Work

Laptops needed for less than a month are booked as an event order, quoted on request. How the quote works, what to send, how many machines to plan for, and how delivery differs inside and outside Delhi NCR.

Renting forty laptops for a two-day conference is a small logistics project with a fixed deadline, a venue with its own rules and no second chance if the registration desk is not ready when the doors open. Because Rentomozo rents on monthly plans, any requirement shorter than a month is handled as an event order: a one-off quote built around your dates, venue and station count. This guide explains how event orders work, what to send for a quote, and how to plan the machines themselves for conferences, trainings, hackathons, assessments and product launches.

How an event order works

An event order is for an organisation that needs laptops for days or weeks rather than months. Typical examples are a company offsite, an induction week, a hackathon, a certification exam run by a training institute, an internal audit, an expo stall or a product launch. Anything that runs for a month or longer simply goes on a regular monthly plan instead.

  1. Send the brief. Share the event dates, the venue address, the number of laptops by station type, the operating system and software list, and whether you want spares and chargers labelled.
  2. Receive the quote. The quote confirms configurations, quantity, any software pre-installation, delivery and collection times, the delivery charge, 18% GST, whether a deposit applies or invoice terms replace it, and the minimum quantity that applies to your dates.
  3. Complete business KYC online. A GST certificate or company incorporation documents, the authorised signatory's ID and the delivery contact's details. This is done before dispatch, and the delivery person only checks the receiver's photo ID at the venue. The documents required page has the full list.
  4. Delivery, setup and collection. The laptops arrive before build-up, you run your checks, and we collect them after teardown on the agreed date.

One rule to know before you confirm: once an event order is placed, cancelling it or refusing delivery at the venue attracts a penalty of one month's rent for the order. Lock the station count and dates with your organising team first, and tell us early if the schedule moves so we can reschedule instead.

Minimum quantity

Event orders carry a minimum quantity, because each one involves dedicated preparation, delivery and collection. The exact figure depends on the configurations and dates and is stated in the quote. If you need only a handful of machines but for a month or more, a monthly plan is usually simpler and better value.

For outstation events in Mumbai, Bangalore, Hyderabad, Pune or Chennai, build the 3–4 day transit into your timeline and have the laptops reach the venue or a local office several days before the event, not the evening before.

Start with the job each laptop has to do

Before counting machines, list the stations. Most events need several kinds of laptop, and treating them all the same either wastes money or leaves the demanding stations underpowered.

  • Registration and check-in. A browser, a badge printer driver and a QR scanner. Reliability and battery matter more than speed. We also rent laser and label printers and TVS barcode scanners, so the desk can come as one kit.
  • Speaker and stage laptops. These drive projectors and LED walls, so display output and ports matter. Keep a backup machine at the stage with the full deck loaded.
  • Expo demo stations. A product walkthrough, a video loop or a lead-capture form running for eight to ten hours.
  • Hackathon machines. Admin rights, enough memory for an IDE and a browser full of documentation, and often Docker.
  • Assessment stations. Identical, locked-down machines running a secure browser or test client.
  • Production desk. Live streaming or video playback, where a laptop with a dedicated GPU and plenty of ports earns its place.

For most mixed events, a single batch of one mainstream configuration, such as the Core i5 8th Gen laptop with 8 GB / 256 GB SSD, covers registration, demo and assessment stations, while one or two RTX laptops handle the stage and production desk. Our Windows laptops are supplied as Dell, HP or Lenovo machines depending on stock, so ask for a single brand across the batch if your volunteers need identical keyboards and ports. Uniformity is underrated: one setup document, one charger type and one set of instructions for volunteers.

Working out how many you need

Count by throughput, not headcount. Suppose you expect 600 delegates in the 45 minutes before a keynote, and check-in with badge printing takes about a minute per person. That is around 13 check-ins a minute, so you need 13 or 14 registration stations at the peak, not the three or four that feels about right.

Then add spares: one for every 10 to 15 machines in use, plus a spare charger for every five laptops, because chargers wander off faster than laptops do. Configure spares exactly like the live machines so a swap takes two minutes. For assessments, seat count fixes the number, but keep one spare per room. For hackathons, decide early whether every team receives a standard machine; it is fairer and far easier for volunteers to support late at night.

Software, accounts and settings

Send your software list with the quote request. Pre-installation is available on request and confirmed with the quote, or your own IT team can deploy its image. Either way, write a one-page setup checklist a volunteer can follow on every machine:

  1. Create a standard event user account, with admin rights only where the station needs them.
  2. Pause Windows updates for the event days, and set screens never to sleep at demo or stage stations.
  3. Turn off notifications, cloud sign-in prompts and apps that launch at startup.
  4. Test the registration app, badge printer driver and QR scanner on the actual rental configuration.
  5. For assessments, install the secure browser or test client and run a complete mock test on at least two machines.
  6. Label every laptop and its charger with the same number, and keep a sheet mapping numbers to serials.

MacBook Air models have no HDMI port, so stage use depends on a USB-C to HDMI adapter. Test it with the venue's projector during the technical rehearsal.

Venue notes for Delhi NCR

Every large venue controls who enters, when and through which gate. Build that into the delivery plan before you fix a time.

Bharat Mandapam, Pragati Maidan

Vehicle access during build-up runs through the organiser. Share the hall number, the organiser's site contact and the permitted setup window, and check whether the delivery vehicle needs a pass. Our ITO page covers this part of central Delhi.

Yashobhoomi, Dwarka Sector 25

The convention centre sits on the Airport Express Line, which suits delegates, but goods vehicles are routed around event-day security. Coordinate the service entry with the organiser and allow time for screening boxed equipment.

India Expo Centre & Mart, Greater Noida

The Expo Mart in Knowledge Park II is farther from Gurgaon and south Delhi than many exhibitors expect. Have the laptops delivered at the venue rather than carried in a cab on build-up day. The Knowledge Park page covers this belt, where colleges also run their own hackathons; send the rider's details to the college's event team a day ahead.

Aerocity hotels

Conferences and offsites in the Aerocity hotels run through each hotel's banquet or business-centre team. Give the hotel name, event name, hall and an on-site contact.

A planning timeline that works

  1. Three to four weeks out (longer for venues outside NCR): send the brief and confirm the quote, configurations and minimum quantity.
  2. One to two weeks out: complete business KYC and payment or invoice terms, confirm gate-pass needs and name the on-site receiver. Our bulk rental checklist covers the paperwork.
  3. A day or two before: receive the machines and run your setup checklist end to end.
  4. Event day: power everything on early, run one test transaction at every station and keep spares visible at the help desk.
  5. Teardown: count laptops and chargers against the sheet before our collection team arrives.

Within NCR, same-day delivery is available in most localities for orders confirmed before 4 PM, but do not lean on it for events, because bulk quantities depend on stock. Book early and take delivery before build-up.

Data and the return

Event laptops collect personal data: names, phone numbers, email addresses and sometimes test answers. Export everything to your own storage before teardown, sign out of every account and clear browser data. Every laptop is factory-reset before its next use, so your export is what protects you if a file is needed later. To start a quote, see laptops on rent for events, or contact us with your dates, venue and station count.

FAQs

Can we rent laptops for a two-day conference?

Yes, as an event order. Our standard plans are monthly, so anything shorter than a month, such as a two-day conference, a training week or an assessment, is quoted on request. Send your dates, venue, quantity and software list, and the quote confirms configurations, the minimum quantity, delivery charges and collection.

Is there a minimum quantity for an event order?

Yes. Event orders carry a minimum quantity, which depends on the configurations and dates you need and is confirmed in the quote. If your requirement is small but runs for a month or longer, a regular monthly plan is usually the simpler route.

Do you deliver event laptops outside Delhi NCR?

Yes. For venues in cities such as Mumbai, Bangalore, Hyderabad or Pune, laptops ship from NCR and typically take 3 to 4 days to arrive. A shipping charge applies and is confirmed on the call, so plan for the laptops to reach the venue well before build-up day.
